The User Management section lets you manage the users in your Kiuwan account and control what they can access and do (permissions, roles, and administration privileges).
Export users to CSV
To export a list of users and their permissions:
- Open the menu next to the Users title.
- Select one of the following options:
- CSV – all records: Exports the full list of users and permissions.
- CSV – filters applied: Exports only the users that match the current filters.
Add a new user
- Click Add to open the New user form.
- Fill in the fields below and save your changes.

Set user as owner
To change the account owner:
- Open the dropdown menu next to the target user.
- Select Set as owner.
- Confirm this action in the pop-up window that shows up when selecting the Set as owner option for any user:
Each Kiuwan account has one owner, who has full permissions over account administration, applications, and portfolios. After ownership is transferred:
- The new owner becomes the only account owner.
- The previous owner loses ownership rights and is assigned default permissions.
Set a new password
To generate a new password for a user:
- Open the dropdown menu for that user.
- Select New password.
Kiuwan generates a new password and sends it to the user’s email address.
Set administration privileges
Administration privileges can be granted to any user, which enables them to manage applications, users, quality models, and/or audits similarly to the account owner.
Set permissions on portfolios
The account owner (or any user with the Manage Users privilege) can assign application permissions based on the application classification in portfolio groups.
Permissions are assigned by selecting a Role (a defined set of allowed actions) for each portfolio value.
In case you want app permissions to take precedence over portfolio permissions, you should check Override in Application Access Permissions.
Set permissions on applications
The account owner (or any user with the Manage Users privilege) can assign application-specific permissions.
Select Override to prioritize the role assigned to that user and application over any role inherited from Access permissions to Portfolios.
Bulk actions
To apply the same option to several users at once:
- Select the users in the list.
- Open the Bulk actions dropdown menu.
- Choose the action you want to apply.
User groups
A User Group is a set of users that share the same permissions (admin privileges and/or permissions on applications and portfolios).
Use User Groups when you need to assign identical permissions to multiple users (for example, per development team). This reduces permission management work because you configure permissions once at the group level and then add/remove users as needed.
How group permissions are applied
- A user can belong to multiple User Groups.
- If a user belongs to more than one group, Kiuwan grants the union (OR) of all group permissions (the user gets permissions from group A plus group B, etc.).
- If there are conflicting permissions, Kiuwan applies the most permissive access.
- Once a user belongs to a User Group, you can’t assign individual permissions for that user.
Override User Group
If you need to avoid inheriting group permissions for a specific user, select Override User Group. In this case, the user will receive only the permissions assigned directly to them, regardless of group membership.
Create a new User Group
To create a User Group:
- Click Add.
- Drag and drop users from Not Member Users to Group Members.
- Define the group permissions as needed.
Roles
Roles define the set of actions a user is allowed to perform. You can manage roles by clicking Roles.
Create a new Role
- Click Create New Role.
- Select the actions you want to enable for the role (using the corresponding checkboxes).
- Save the role.
